This Privacy Policy explains how HeadFun Silent Disco collects, uses, shares, stores, and protects information when people use this website and attend our events. It applies to public browsing, account creation, ticket purchases, genre voting, the email newsletter, check-in at the door, support requests, and other interactions with the site.

Information we collect

We collect information you provide directly and information generated through your use of the site. Depending on how you use HeadFun Silent Disco, that may include account details, ticket orders, genre votes, newsletter preferences, support messages, and payment confirmations.

We also collect operational and technical information needed to run the site, such as records tied to account activity, ticket check-in, email delivery, security, fraud prevention, performance monitoring, and service reliability.

Account information

When you create or use an account, we may collect information such as your name, email address, account identifiers, and related account activity. We use this information to sign you in, maintain your account, connect you to your tickets and preferences, protect account access, and support account recovery, settings, and deletion requests.

Ticket purchases and payments

When you buy a ticket, we collect the details needed to complete the order, such as your name, email address, the event, the number of tickets, and the amount paid. Payments are processed by our payment provider, Stripe. We do not receive or store your full card number. We receive payment and transaction confirmations from Stripe so we can issue tickets, provide support, prevent fraud, and keep business records.

Tickets and check-in

Each ticket is tied to your order, and staff check tickets in at the door. When a ticket is checked in, we record that it was used and when. We use check-in records to admit guests, prevent a ticket from being used twice, and count attendance.

Genre voting

Ticket holders can pick up to three genres and change them until the day before the event. We store your votes with your ticket so each ticket counts once. We use vote totals to help plan what the DJs play. We may share vote totals publicly, but not who voted for what.

Email newsletter

If you sign up for the newsletter, we use your email address to send a monthly email about upcoming events. We send newsletters through our email provider, Mailgun, which records delivery and may record opens and clicks. Every newsletter includes an unsubscribe link, and you can stop receiving it at any time.

We also send service messages, such as order confirmations, tickets, and event changes. These are part of your purchase and are not affected by unsubscribing from the newsletter.

Support requests and communications

If you contact us or respond to us, we collect the information you include in that request, such as your name, contact details, message, and follow-up history. We use this information to respond to requests, investigate reports, provide support, improve the site, and keep records of safety, legal, or customer-service issues.

Event photos and video

We and our partners may take photos or video at events and use them on this site, on social media, and in promotion for future events. If you attend, you may appear in that material. If you want a photo or video of you removed, email us at connor@thinkbreak.net and tell us where you saw it. We will take it down from the channels we control.

Device and usage information

We may collect browser and device information, referral information, IP-address-related data, and interaction records such as page views, clicks, and navigation paths. We use this information to improve performance and reliability and to protect the site against abuse, spam, fraud, and unauthorized access.

We share information with event staff as needed to run events. We do not sell your personal information.

Retention

We keep information for as long as reasonably needed for the purposes described in this policy, including account management, ticket and payment records, operational logging, security, legal compliance, and dispute resolution. Some information may remain in backups, logs, or archived records for a period of time even after it is removed from active use.
